Privacy Policy

Personal Information Protection at Hotel Sekia Kumamoto

Hotel Sekia Kumamoto (hereinafter referred to as the "Hotel") is operated by CHI Co., Ltd. We recognize information that can identify guests as individuals (hereinafter referred to as "personal information") as important, and we are committed to protecting your privacy.

 

In the course of providing various services, the Hotel may obtain information related to individual guests, or personal information related to representatives of corporate or organizational guests.

Obtaining such personal information is important for providing the highest level of service to our guests, but at the same time, we are deeply aware that we are expected to handle this personal information appropriately.

This policy describes what personal information the Hotel may obtain, the purposes for which we use personal information, with what third parties we share personal data, and what security measures we take to protect personal data.

1. When We Request Personal Information (Sources of Personal Information)

The Hotel obtains personal information primarily through the following channels.

  • Accommodation registration cards submitted by guests
  • Wedding and banquet application forms
  • Auxiliary facility application forms
  • Membership program application forms, etc.
  • Records of guest visits to the Hotel
  • Reservation information through the Hotel website
  • Surveys and other documents or materials

2. Purposes of Using Personal Information

The Hotel may collect and use guests' personal information for the following purposes.

  • To contact guests regarding their use of the Hotel by means such as mail, telephone, email, or fax
  • To provide information about products and services offered by the Hotel
  • For internal business operations of the Hotel (including provision to third parties necessary for business operations)
  • To promote business between group hotels
    Even if a guest withdraws from a Hotel membership program or otherwise ends their relationship with the Hotel, the Hotel will continue to handle the guest's personal information in accordance with this policy for as long as we retain it.

3. Scope of Personal Information Collected

The personal information the Hotel may obtain from guests primarily includes the following.

  • Name, address, telephone number, email address, and other contact information
  • Attribute information such as age, date of birth, gender, occupation, position, title, and area of responsibility
  • Records of your use of our services, your interests, and other related information

The Hotel strives to keep the personal data we hold accurate and up to date. If there are any changes to your personal information, please notify us promptly.

4. Provision of Personal Data to Third Parties

The Hotel will not disclose your personal data to third parties other than those described in this policy. The Hotel may disclose your personal data to third parties when obtaining specialized advice such as legal or accounting advice, when necessary to promote business between group hotels, or when receiving support to improve service to guests.

Sharing Among Group Companies
In order to provide efficient and reliable service, and to expand your choices of products and services, the Hotel may jointly use your personal data between group companies and with the Hotel's operating company, CHI Co., Ltd. The purpose of such use is to promote business between group companies, and such joint use is carried out under the responsibility of CHI Co., Ltd.

  • Items of Personal Data Provided
    All or part of the personal information provided when you use facilities within the Hotel, and the personal information provided when you join a membership program (your or your family's address, name, telephone number, employer, etc.).
  • Method of Provision
    Hand delivery, mail, fax, and provision via the in-hotel network of copies of documents containing personal information (paper) or other storage media such as CD-ROM.
  • Procedure for Stopping Third-Party Provision of Personal Data Upon Request (Opt-Out)
    If a person requests that the provision of their personal data to third parties be stopped, the Hotel will immediately stop such third-party provision.
    In addition, when your personal data is jointly used among group companies, the Hotel that first obtained the data is responsible for managing it, and the items of personal data jointly used will be limited to the scope necessary in light of the purpose.

Companies that receive disclosure of your data from the Hotel are required to use the personal information only within the scope of the purpose of use, to keep the disclosed data confidential, and to use your personal data only for the purpose of providing the services requested by the Hotel.

The Hotel may also disclose your personal data following your instructions, to protect the interests of the Hotel or of guests, or with your consent.

Finally, the Hotel may disclose your personal data to cooperate with disclosure requests from those with legitimate authority in judicial and administrative agencies.

The Hotel will not transfer your personal data to third parties for compensation.

5. Security Measures for Personal Information

The Hotel adopts the highest standards of information security to protect the privacy and confidentiality of your personal data.

The Hotel limits access to your personal data to authorized employees or agents only. As stated in "[4] Provision of Personal Data to Third Parties," the service providers used by the Hotel bear strict confidentiality obligations. The Hotel takes physical, electronic, and procedural preventive measures to ensure that your personal data is not subject to loss, misuse, damage, alteration, unauthorized access, or leakage.

Other features of the Hotel's information security program include the following.

  • Use of specialized technology such as firewalls
  • Testing security and operability before products and services are actually used on the internet, and continuously examining commonly known technical vulnerabilities
  • Conducting internal and external audits of our website and services provided through the internet
  • Monitoring the structural infrastructure of our systems and working to identify vulnerable points and points at risk of external intrusion

6. Privacy Protection and the Internet (Cookies)

To ensure security, and so that users do not need to enter their password repeatedly while using the website, the Hotel may use cookies for management purposes.
We may collect and share internally access logs (for example, which pages of the Hotel website you accessed and how often you accessed them) and use them to analyze the use, value, and performance of our services.

A "cookie" is a small text file consisting of encrypted information assigned from a website to the browser on your computer.

7. Changes to This Policy

This policy may be changed in accordance with how the Hotel actually collects and uses your personal information. The revised policy will take effect when posted on the Hotel website. This version is dated November 1, 2008.

8. Inquiries

You may request disclosure of the personal data held by the Hotel about you. When requesting disclosure, you will need to submit identity verification documents in order to prevent leakage of your personal data to anyone other than yourself.

Such disclosure requests will be handled in accordance with the Act on the Protection of Personal Information and other applicable laws. The same applies when you request correction, addition, or deletion of the contents of held personal data based on the Act on the Protection of Personal Information.
